Data we collect
When you submit a compensation claim through TrainOwed, we collect the information needed to process that claim. This includes your name, email address, journey details (route, date, delay length), and booking references or ticket numbers. We also collect your bank or payment details when a claim is successful and compensation is ready to be paid out.
If you contact our support team, we retain the content of that correspondence. We do not collect any data beyond what is necessary to operate the service.
How we use your data
We use the information you provide to process your compensation claim. This means submitting your journey details to the relevant train operator on your behalf, corresponding with that operator throughout the claims process, and sending you updates on the status of your claim by email.
We do not use your data for marketing purposes without your explicit consent. We do not profile you or use your data for automated decision-making beyond what is needed to check claim eligibility.
Data sharing
We share your journey and booking data with train operators as part of the claims process. This is necessary to submit your claim and is covered by the authorisation you grant us when you use the service.
We do not sell your personal data to third parties. We do not share your data with advertisers. If we use third-party service providers (for example, payment processors or email delivery services), they are bound by data processing agreements and may only use your data to provide services to us.
Cookies
We use analytics cookies to understand how visitors use the TrainOwed website. This is done via Google Analytics and Google Tag Manager. These cookies are only placed after you have given your consent through our cookie banner.
Strictly necessary cookies (for example, session cookies that keep you logged in during the claims process) are set without requiring consent, as they are essential for the service to function.
You can withdraw cookie consent at any time by clearing your browser cookies or adjusting your preferences through the cookie settings on our site.
Data retention
We retain your claim data for 3 years after the resolution of your claim. This allows us to respond to any follow-up queries or disputes and to comply with financial record-keeping obligations. After this period, your data is securely deleted.
If you request deletion of your data before this period ends, we will delete what we can while retaining the minimum required for legal and financial compliance.
Your rights
Under the UK GDPR and EU GDPR, you have the following rights regarding your personal data:
- Access — you can request a copy of the personal data we hold about you.
- Correction — you can ask us to correct inaccurate or incomplete data.
- Deletion — you can ask us to delete your data, subject to our legal retention obligations.
- Portability — you can request your data in a structured, machine-readable format.
- Objection — you can object to certain types of processing, including direct marketing.
To exercise any of these rights, contact us at the email address below. We will respond within 30 days.
